Overview
Data Loss Prevention (DLP) is the set of security technologies that detect and prevent sensitive data from reaching unauthorized people, systems or channels. Leaks of critical information such as credentials, payment card data, medical records, trade secrets and personal data lead to financial loss, legal sanctions and reputational damage. KVKK and GDPR mandate technical controls to manage this risk.
Modern DLP solutions monitor three main states: data in motion, data in use and data at rest. All data exit points, including email attachments, cloud uploads, USB copying, screen captures and printing, are monitored and kept under control by DLP policies.
The effectiveness of DLP policies is directly proportional to the maturity of data classification. DLP rules cannot be written without knowing which data is sensitive. Indexline starts every DLP implementation with a data classification exercise; the content inspection engine (content patterns, regular expressions, machine learning), contextual analysis and user behavior come together to deliver high-accuracy detection.
DLP management is as much an organizational process as a technical exercise. Policy exception management, false positive triage and incident response procedures determine the operational effectiveness of a DLP program. Employee awareness training significantly reduces unintentional data leakage incidents and increases adoption of DLP policies.
How It Works
Data Classification: Sensitive data categories are defined (PII, PCI, trade secrets, confidential). A classification taxonomy and policy are created.
Channel Inventory: Data exit channels (email, cloud, USB, printing, screen, network) are cataloged. Priorities are set by risk level.
DLP Platform Selection: The most suitable platform (Microsoft Purview, Symantec DLP, Forcepoint) is selected based on endpoint, network and cloud DLP needs.
Policy Design: Allow/block/warn policies are designed for each data category and channel, then validated in a test environment.
Phased Rollout: Deployment starts in audit mode, the false positive rate is analyzed, policies are fine-tuned, and then enforcement mode is enabled.
Integration: Integration with the email gateway, endpoint agent, proxy and CASB is completed.
Incident Management: Response procedures for DLP incidents are defined. Escalation criteria, investigation steps and reporting are configured.
Key Features
Content Inspection Engine
Sensitive data is detected accurately using regular expressions, keywords, file fingerprinting and ML-based classification.
Email DLP
Outgoing email content, attachments and recipient lists are inspected against DLP policies. Policy violations are blocked or encrypted.
Endpoint DLP
USB, clipboard, printing and screenshot channels are controlled by an endpoint agent. It operates without administrator rights.
Cloud DLP (CASB)
Sensitive data uploaded to OneDrive, SharePoint, Google Drive and other cloud repositories is detected and blocked. Shadow IT visibility is provided.
Network DLP
Data flows over HTTP, HTTPS, FTP and SMTP are inspected inline. Encrypted channels are inspected via SSL inspection.
Policy Exception Management
DLP policy exceptions required by the business are managed through workflow approval. Exception history and justification are recorded.
Incident Reporting
DLP incidents are classified, risk-scored and included in management reports. Trend analysis highlights high-risk behavior.
KVKK/GDPR Compliance Reports
Personal data processing activities are documented with DLP logs. Evidence required for data breach notification is collected automatically.
Benefits & Advantages
Preventing leaks of personal and sensitive data protects your organization from fines under KVKK/GDPR.
Blocking unintentional data sharing prevents leaks that employees cause without realizing it.
Data theft attempts are detected in real time, and comprehensive evidence is collected for forensic analysis.
Uploads of sensitive data to cloud applications are brought under control, reducing shadow IT risk.
Data flow documentation and reporting for compliance audits are automated.
In the event of a security breach, DLP logs accelerate incident response and forensic investigation processes.
Industry Use Cases
Finance & Banking
Sharing of customer account information through unauthorized channels was blocked with DLP; technical controls were demonstrated during a BDDK (Banking Regulation and Supervision Agency) audit.
Healthcare
Copying of patient records to USB was blocked with endpoint DLP, eliminating the risk of a KVKK violation.
Legal & Consulting
Sharing of confidential client documents via unauthorized email channels was prevented with DLP; data leakage incidents fell by 80%.
Pharmaceuticals & Health Technology
R&D data and formulas were protected with cloud DLP; an attempted leak to a competitor was detected and blocked.
Retail
DLP policies were implemented for cardholder data and customer PII records; the PCI-DSS audit score improved.
Public Sector Institutions
Content-based DLP was applied to confidential documents; movement of classified data was brought under automated control.
The Indexline Approach
For a DLP program to succeed long term, organizational readiness is as critical as the technical implementation. Awareness training for employees significantly reduces unintentional leakage incidents and increases policy adoption. An approach of "awareness, not deterrence" makes the DLP program more sustainable.
The biggest operational challenge of DLP is false positives. Overly strict policies obstruct business processes; overly loose policies reduce protection value. During a 4-6 week observation period, Indexline learns the organization's data flow patterns and calibrates policies to business reality.
DLP is part of a holistic data security strategy. When access control, encryption, privileged access management and DLP are considered together, they provide comprehensive insider threat protection. We apply this holistic approach in every project.
Frequently Asked Questions
How are business processes affected if DLP produces false positives?
To avoid blocking business processes, we start policy rollout in audit mode. Enforcement is enabled only after rule calibration is complete. A bypass workflow is defined for emergencies; approved exceptions are logged and remain auditable.
Can we bring cloud applications under DLP coverage?
Yes. With CASB (Cloud Access Security Broker) integration, content uploaded to Microsoft 365, Google Workspace, Salesforce and other SaaS applications is subject to DLP policies. Shadow IT applications are also made visible through the CASB's discovery capability.
Can DLP inspect encrypted files?
Encrypted file contents generally cannot be inspected by DLP. For this reason, enterprise encryption solutions should be configured to work in integration with DLP. Once encryption is applied, the content of a file sent through a channel is evaluated by DLP based on context (recipient, file type).
Is DLP mandatory under KVKK?
Under KVKK's technical measure obligations (Article 12), personal data must be protected against unauthorized access. DLP does not directly fulfill this obligation, but together with personal data classification and controlled access it forms an important layer of technical measures.
Does endpoint DLP violate employee privacy?
DLP policies and their scope should be explained transparently to employees. Only corporate devices and data flows are monitored; personal files, personal email and private browsing are out of scope. A policy design compliant with GDPR and the Turkish Labor Law is critical.
How many DLP policies should be defined?
A small number of well-calibrated policies is more effective than many loose ones. A typical starting point of 4-6 core policies for PII, PCI data, trade secrets and documents labeled confidential is sufficient. Additional policies are added once these are optimized.
How should DLP incidents be investigated?
The DLP incident management process includes incident triage, risk assessment, investigation, corrective action and closure. Through SIEM integration, DLP incidents are correlated with other security signals, and the user behavior profile is included in the assessment.
Which DLP platform do you recommend?
Microsoft Purview DLP offers native integration for Microsoft 365 environments. Symantec DLP and Forcepoint DLP are comprehensive options for heterogeneous environments. Zscaler and Netskope deliver cloud-native DLP with CASB. The choice depends on your existing infrastructure, budget and scope requirements.
